Meetings Audit 2025 – FAQs

UPDATE: Meetings that did not respond have now been temporarily removed from the website and their contacts emailed to inform them of this.
If your meeting has been removed and you do not have access to the contact emails for it please contact meeting@adultchildrenofalcoholics.co.uk with details of the meeting.

The main part of our audit period is now over. Here are some frequently asked questions about this process and what we asked from you:

What is the Meetings Audit?

The meetings audit is when we email all our meetings and ask that they respond, via a form on the website, to ensure that all the information we display about ACA UK meetings is still current, and that our contact emails for you are still correct. We ask that every meeting completes the audit form, to keep their meeting displayed on the website.


When is it happening?

The first phase of the audit runs from March 17th to April 14th 2025. You will receive your audit email(s) on Monday 17th or Tuesday 18th March and we ask you to complete the form linked in the email(s) before April 15th.


Why does ACA UK need to run meetings audits?

Without this process our meeting listing information becomes out of date. To fulfill Tradition 5 we need to take reasonable steps to help keep the meetings listed on our website reliable.


What does the audit email I will receive look like?

The email will be from ACA UK Meetings Admin and the subject line will be Meetings Audit 2025 – Action Needed. Your email(s) will be sent on Monday 17th or Tuesday 18th March. Please check your spam folders!


What will happen if I don’t respond to the audit?

If you don’t complete the form asking you to confirm a back-up contact email for a meeting we will delete this email from our contacts database. We will not inform you of this action. You can add or alter your contacts for a meeting in future via the Meetings Update form.

If you don’t complete the main audit form for your meeting (sent to the public contact email if you have one, or the private contact if you don’t) by April 15th we will remove your meeting from the website, and email you again to let you know. If you get in contact with us to complete the form within the following 28 days we will reinstate your meeting on the website. Thereafter we will ask you to complete a New Meeting Registration form.


How will I know if the audit for my meeting has been completed?

A successfully submitted form will send a copy of your responses to the email addresses listed in the form, as a record for you. Please note the information below regarding which email addresses are sent which part of the audit.

Which contact emails are sent the audit form link?

If your meeting has one contact email address, we will send one audit email to that contact.

If your meeting has a public email AND a back-up private contact email address we will send your meeting two audit emails:

  1. The main audit email (sent to the public email address) asks for you to confirm or change all details about the meeting. Completing the form in this email will ensure your meeting stays on the website. 
  2. The additional audit email (sent to the back-up private contact) only asks for you to confirm or change that contact email. 

To complete the audit in full and retain both contacts we need both audit emails responded to.

Remember that you can add or remove email contacts in future via the meeting update form.


How long do I have to complete the audit form?

You have 4 weeks. If we don’t receive your audit form response in the first 28 days (before April 15th) we will temporarily remove your meeting from the website, and will email again to let you know this has happened and ask you to get in touch.

If we still haven’t received a response after another 28 days we will delete your meeting page from our system. 

If you later contact us about being listed on the website we’ll ask that you use the New Meeting form to submit new details for the meeting.


I’ve received two audit emails to the same email address..?

If you are the contact person for two meetings, using the same email address, you will receive an audit email for each meeting. If you follow the link in the emails you’ll see the form is pre-filled with the meeting details, so you’ll know which meeting you’re filling out the form for.

Remember that if you have a public contact email automatically forwarded to your personal address you might receive both emails in one inbox. The form linked to in the audit email specifies which email address it is asking you to confirm or change.


Can I complete the audit form on my phone?

Yes you can. You might find it easier on another device though, because we ask you to visit the meeting’s ACA UK webpage to review the information listed, and some find it tricky to navigate between pages on a mobile browser. If mobile is your only option we suggest jotting down the changes that need making on your meeting page (if any), then returning to the audit form to fill it out.


Our meeting didn’t get any audit emails!

Check your meeting page on this website to see if your meeting has a public contact email, and ask your group who manages that inbox.

Please check your spam folder – it’s very likely the audit email went in there.

If you still can’t find it, or you don’t know who is the private contact for the meeting, contact us on meeting@adultchildrenofalcoholics.co.uk to check which email contacts we have stored for your meeting.


Can I change my meeting’s details during the audit?

Yes – you’ll be able to alter any part of your meeting’s information, contact emails, times, description, access info, etc via the new audit form.

Remember that you can add or remove email contacts and change any other details in future via the meeting update form.


Where can I find the safeguarding information that was included on the audit form?

The audit asks each contact to acknowledge a safeguarding policy which was voted in by the fellowship in September last year. You can read about that here. You can also read the safeguarding committee’s delisting policy here.
